Have you ever stumbled upon a job-ad that requests a Project Manager and asked yourself what that means? If so, this post is for you. But before you start to think that organizing a wedding has nothing to do with the management of a project, allow us to say: think again! It actually has so much in common!
The first step we ask our brides and grooms to take is to fill out a wedding summary (you can download our wedding summary template for free), after filling it out and having the first conversations as your wedding planners, we get down to work and plan your wedding.
Remember, the wedding specialist is an important role both for you and for us. The wedding manager is in charge of managing everything related to your event and updating and checking with other roles such as, for example, the flower designer. That sounds pretty important, don’t you think?
At My Flower Fairy we manage weddings and events as projects: with a beginning and an end, adjusted to specific dates and budgets. The key to project management is the ability to work on different events while still maintaining team cohesion. Other important elements are found in the planning, monitoring and results of each event.
How do we manage weddings and events at Flowerfairy?
In order to be efficient and to not overlook any detail regarding the weddings and events that we organize throughout the year, we work with a Project Manager as the guide of our team, this way we succeed in achieving cohesion in every event.
The Project Manager is in charge of identifying, planning, executing and monitoring the projects requested at Flowerfairy in real time. When we schedule a new wedding or have an event planning request, the project manager gets straight to it, working alongside the wedding and event planner. These latter roles are in charge of managing other areas such as floral design or logistics.
The Project Manager is also in charge of ensuring that all associated activities and resources are carried out in the correct order and on time.
That is why—as Vanessa, our CEO and Founder, says—we are more than just florists, we are a family that works to achieve a unique result for you, be it for your wedding, an event or a flower arrangement.
As an organization we value teamwork as a fundamental skill. It is crucial in the success of a project, along with the ability to be active and make your own decisions.
What tools and platforms do we use at Flowerfairy that can be helpful for a Project Manager?
There are so many tools you can use, so we decided to give you a curated list to manage a project the Flowerfairy way:
A platform with a freemium version that allows you to assign tasks, check the calendar, guide and follow up. Each role or person can send you information every time a task is finished.
In addition, the platform is synchronized with others such as Slack (instant messaging), allowing each person to be notified in real time after a field is updated.
Another helpful platform you can use in your work as a Project Manager, since in a simple and interactive way you can make use of a board in which you assign tasks to be done or check the monitoring of a project.
If the digital world isn’t your strong point, we recommend using Excel. It has simple configurations which make it very easy and straightforward to use.
Another tool that you can use in an agile way, as it also allows you to check the projects in which you participate.
Each one has different purposes, but they share a common goal: to help you in your role as Project Manager, or in the way you manage your life or the next wedding.
Tip 💡: No tool or platform is necessarily better than the other. It’s all about finding what works best for you.
