Ranges come from our own Miami builds at brand and festival activations. Treat them as a sanity check, not a guarantee — a product launch to 150 press guests and a festival footprint reaching 20,000 behave differently.

A worked example
A $12,000 floral environment at a 400-guest launch. 310 guests interacted with the piece — that is $38.70 per engaged guest, above the healthy band, which tells you the build was over-scoped for the headcount or under-placed in the room.
The same $12,000 build placed at the entry of a 1,200-guest festival day, with 780 interactions, comes to $15.38 per engaged guest and moves into the strong range. Same object, different placement, 2.5× the efficiency.
How to actually collect the data
- Station one staffer with a counter for two 20-minute windows and extrapolate. This is cheap and surprisingly accurate.
- Time 30 guests with a stopwatch at the installation for dwell; average them.
- Run a hashtag or geotag pull for 72 hours after and count posts that show the build in frame — not just posts from the event.
- If there is a QR, gifting bar, or sign-up at the piece, its completion count is your hardest engagement number.
Design decisions that move the numbers
- Put the hero at the entry, not the back. Placement changed capture rate more than budget did in every build we have measured.
- Give people a reason to stop for 20 seconds — choose a stem, take something, sit inside it. Passive backdrops halve dwell.
- Make it taller than a person. Objects above eye level get photographed; objects below get walked past.
- Keep the brand element inside the natural photo frame, not on a sign beside it.
Set the target before you spend
Decide your acceptable cost per engaged guest first, multiply by expected engaged headcount, and that is your activation budget ceiling. It is a far better starting point than a round number picked from last year's line item — and it makes the scoping conversation with us five minutes long instead of three weeks.

- Count organic posts that show the build, estimate the audience reached, and price it at what the equivalent paid reach would cost on that platform. Report it as a range and state the CPM assumption — anyone quoting a single exact figure is guessing.
