The Miami installation calendar, month by month
Two of the installations on our own calendar now repeat annually in the same window, and have for three consecutive years. Repeat builds are held before we open the date to new work, which is the single biggest reason December and January close early.
| Window | What drives it | Booking pressure |
|---|---|---|
| November | Season openers, restaurant and hotel program resets, holiday builds start | High |
| December | Art Basel and satellite fair week, holiday activations, gala season | Peak — book 3–4 months out |
| January | Season parties, corporate kickoffs, annual repeat installations | High |
| February | Valentine's week; wholesale rose and peony pricing rises 30–60% | Moderate, material-driven |
| March | Festival season — including We Belong Here, which ran March 1–2, 2025 at Historic Virginia Key Beach Park | High on festival weekends |
| Early May | Formula 1 Miami Grand Prix — the 2025 race ran May 2–4 at Miami International Autodrome in Miami Gardens | Peak — no rush availability |
| June–September | Hurricane season and heat; interiors, programs, and indoor activations | Low — best value and widest availability |
Why November, December and January are the hardest to book
It is not flower supply. It is crew hours and venue access. In peak weeks the same nights get requested by multiple clients, load-in windows shrink to the small hours because venues are running events back-to-back, and overnight labor prices at roughly 1.5× standard.
Our November-through-January cycle is planned around returning clients first. If your date sits inside that window, the difference between booking in August and booking in November is usually the difference between the build you wanted and the build that still fits.
Lead times that actually work
| Project | Comfortable lead time | Rush floor |
|---|---|---|
| Rental flower wall, standard 8ft | 2 weeks | 72 hours |
| Single installation (arch, bar, entry) | 3–4 weeks | 7 days |
| Custom-built wall or ceiling | 6–8 weeks | 3 weeks |
| Full brand activation with fabrication | 8–12 weeks | 4 weeks |
| Art Basel / F1 / Miami Open week | 3–4 months | not available |
What the weather does to the design
December through April is the reason Miami installations photograph so well outdoors — low humidity by local standards, stable temperatures, and long usable evenings. June through September is the opposite: afternoon storms, sustained heat above 85°F, and salt air on any waterfront site.
That does not mean summer installations fail. It means the palette changes. Orchid, anthurium, protea, ginger, bromeliad and palm hold eight hours or more in direct Miami conditions; hydrangea and peony can fail inside four. Summer is also when budgets go furthest, because crew availability is wide open.
How to plan a peak-week installation
- Lock the date before the design. In Art Basel or Grand Prix week, availability decides the scope more than budget does.
- Confirm the load-in window with the venue in writing. Overnight access changes the labor line by 50%.
- Send the room. A photo of the actual space plus wall or ceiling dimensions gets you a concept render and a fixed quote, usually inside 24 hours.
- Ask about the repeat rate. If your event recurs annually, a structure we can rebuild reduces the second-year figure meaningfully — that is exactly how our own annual builds work.
- Build shade into outdoor plans. Installing within three hours of doors, with the piece shaded until then, does more for hold time than any product.
Frequently asked
- When should I book a Miami installation for Art Basel week?
- Three to four months out. December fills first because annual repeat installations are held before we open new dates, and rush availability inside Basel week is effectively zero.
- What is the cheapest time of year for a floral installation in Miami?
- June through September. Crew availability is widest, venues are flexible on load-in, and the tropical palette that thrives in summer heat — orchid, anthurium, protea, palm — is locally strong rather than import-dependent.
- Do you install during Formula 1 Miami Grand Prix weekend?
- Yes, and it is one of our tightest windows. The 2025 race ran May 2–4 at Miami International Autodrome; for that weekend we work three to four months ahead and do not take rush bookings.
- Can the same installation be rebuilt next year?
- That is how several of our annual builds run — the same event, the same window, three years in a row. Reusable structure and a refreshed floral layer bring the repeat cost down while the design evolves.
- How does hurricane season affect an outdoor installation?
- We build a contingency into the scope: an indoor relocation plan, faster strike mechanics, or a fresh-and-faux hybrid that tolerates rain. Peak storm months are August and September.
