The 2027 Orlando event calendar
Convention and trade-show season runs from January through June and again from September through November. This is the period for exhibit environments, general sessions and sponsor hospitality at Orange County Convention Center and the resort corridor. The published booking window is eight to ten weeks because rigging review and the dock schedule can set the critical path.
Corporate incentive and conference season runs February through May and September through November. Allow six to eight weeks, while annual programmes are commonly placed a year ahead. Resort and garden wedding peaks run March through May and October through November; reserve four to six months for a peak Saturday. These windows are planning guidance already published on the Orlando page, not claims that every venue has identical availability.
Storm and holiday windows
June through September is treated as storm season on the Orlando page. Outdoor work is booked with a written contingency, a decision threshold and a rebuild rate agreed before installation. The point is not to predict a particular event day. It is to decide which elements come down, who makes the call and what an indoor version looks like before weather creates a rushed decision.
Holiday resort programmes run November through December. The published direction is to book by August; October is too late for a fabricated programme. St. Augustine’s Nights of Lights season runs November through January and needs ten to twelve weeks because historic-venue approval takes time. St. Augustine has its own city page, but the Orlando calendar records it because the trip and venue constraints can affect Central Florida planning.
Venues we plan for
Orange County Convention Center is the central convention brief: two campuses, large halls, rigging plans, weights and overnight docks. Around it, Gaylord Palms brings an atrium scale where floral needs enough structure to register. Hyatt Regency Grand Cypress combines conference ballrooms and outdoor lawn events, which can require both indoor and wind-aware specifications.
Waldorf Astoria Orlando and Four Seasons Resort Orlando represent formal resort and executive-hosting rooms where finish is read close up. Camping World Stadium and Kia Center call for sponsor hospitality and freestanding work on fixed production windows. Dr. Phillips Center uses glass-fronted lobby views; Orlando Science Center has atrium and exhibit constraints; Bok Tower Gardens requires a design that does not try to imitate the surrounding landscape. Every name here is a venue we plan for, not a claim of completed work.
How the Kendall drive changes the plan
The truck and a crew of two to five travel together from Kendall. Structures are fabricated and dry-fitted before departure, so the Orlando dock receives labelled, tested work rather than loose parts that still need design decisions. Fresh product either travels in a conditioned vehicle or is bought from Central Florida wholesalers on the morning of installation, depending on volume and dressing time.
Four to six weeks is the published lead time for a custom Orlando build. Three weeks is more achievable here than in a fly-in market because freight is a drive, while an existing structure can be re-dressed in about ten days. Convention work can take longer because the show’s review controls the schedule. A faster transport route does not override venue approval.
Documents and venue rules
Convention-center work needs rigging plans, weights and certificates of insurance naming the venue. Resort properties control docks, elevators and quiet hours. Historic properties around Winter Park and St. Augustine can prohibit attachment to original fabric, so those pieces are designed to stand independently. These restrictions should arrive with the brief, not after the concept is approved.
For an outdoor event, send the written weather process and indoor alternative. For a long indoor hold under sustained air conditioning, the Orlando page notes that preserved or premium faux material may be more suitable. The material decision follows hold time, guest contact and environment rather than a blanket rule that every Florida project should use the same flower.

Send the venue, date, event type and exact access window. Include room plans, ceiling height, doorway and lift measurements, loading instructions, guest route, opening time and strike deadline. For convention work, attach the exhibitor or rigging manual. For resorts, identify every room turnover and whether the floral moves between welcome, dinner and closing events.
