Gasparilla Pirate Invasion and Pirate Fest take place on Saturday, January 30, 2027. The published Tampa page describes the invasion docking at the convention center and Pirate Fest along the Riverwalk, with brunches, parties and hospitality suites surrounding the day. For anything fabricated in the Kendall workshop, commit by early November.
December is the next threshold: after that point, the published scope is fresh product and existing pieces only. That does not mean the room cannot look deliberate. It means the quote should describe an inventory-led installation honestly rather than promise a new structure without enough production time. Send the venue, guest route and loading window as soon as the hospitality location is confirmed.
Florida State Fair: February 4–15, 2027
The Florida State Fair runs February 4–15, 2027 at the fairgrounds. The city page positions it as a twelve-day opportunity for brand and sponsor presence. Allow six to eight weeks for a sponsor build and confirm fairground rules before design is locked, because a long public hold is not the same brief as a one-night hotel dinner.
The first review should identify whether the floral is an entrance, content backdrop, hospitality feature or part of a larger sponsor environment. Add operating hours, guest reach, sun exposure and the required hold. Structures and faux elements can be fabricated in Kendall, while fresh flowers are scheduled close to installation when the dressing plan calls for them.
Grand Prix of St. Petersburg: March 5–7, 2027
The Firestone Grand Prix of St. Petersburg runs March 5–7, 2027. It is a downtown street race with hospitality and sponsor spaces along the circuit. Book by December for fabricated hospitality. January is the last practical start for a custom build; after that, the available direction depends on existing structures and fresh product.
Race-week work should begin with credentials, access, the approved hospitality position and the time available to install and strike. St. Petersburg adds travel across the bay to the Tampa route, so a dock time cannot be treated as the crew’s departure time. The schedule needs the full road and venue handover before the workshop release date is set.
The wider Tampa Bay calendar
Convention and corporate meeting season usually runs January through May and September through November. Allow six to eight weeks, and longer when rigging approval is involved. Wedding peaks are usually March through May and October through December, with four to six months advised for a peak Saturday. These are the owner-confirmed windows published on the Tampa page.
Holiday lobby and storefront season runs from mid-November through January. Lobby Christmas trees, restaurant dining rooms and storefront displays install from mid-November and strike in January. The Tampa page carries the published 2026 reservation date for lobby trees; this 2027 event guide does not invent a new deadline before one is published.
Venues we plan for across the bay
In Tampa, the published list includes Tampa Convention Center, the downtown arena, Raymond James Stadium, The Florida Aquarium, Armature Works and JW Marriott Tampa Water Street. The formats range from convention and stadium hospitality to waterfront events and hotel rooms, so each proposal starts with the venue’s actual dock, circulation and fire-documentation rules.
Across the bay, The Vinoy and The Dalí Museum are listed in St. Petersburg, while Ruth Eckerd Hall is listed in Clearwater. These are venues we plan for, not a claim that Flower Fairy has installed there. The same regional drive can serve them, but each property controls its own access, event schedule and approval process.
How a Tampa Bay installation travels
Tampa is roughly four and a half hours by road from the Kendall workshop. Pieces travel in Flower Fairy’s truck with the crew. For a morning load-in, the team drives the day before and stays near the venue. No airfreight and no crew flights appear on the quote. St. Petersburg and Clearwater receive extra route time in the production schedule.
Plan four to six weeks for a custom build. A re-dressed existing structure or flower-wall rental can move faster, while convention and stadium work can take longer because the venue approval controls the date. Structures, backdrops, faux floral and artificial trees are dry-fitted before departure. Fresh flowers either travel conditioned or are purchased through Tampa Bay wholesalers close to installation.
What to send us
Send the event, venue, date and precise load-in and strike windows. Add photographs, floor plans, ceiling and doorway dimensions, the guest path, the primary camera view, the hold period and the working budget. For a public or sponsor environment, include organiser rules and any approved footprint. For an indoor artificial tree, include the venue’s fire-documentation request.
Flower Fairy has no published Tampa Bay project.
