What changes without the Convention Center
The Austin convention center is closed until early 2029, and its replacement is expected then. Until it reopens, SXSW runs as a village of hubs across downtown instead of around one building. For producers that means the activation spend that used to cluster near the halls is spread across hotels, theaters and borrowed rooms, and more of the design weight falls on what brands bring in themselves.
For 2027 the festival has named its first hubs: the Music Clubhouse at the Thompson hotel, with music conference programming also at the Westin; Film & TV premieres and red carpets at ACL Live at the Moody Theater while the Paramount Theatre is restored; and the Film & TV Conference at the Driskill and the Stephen F. Austin hotels.
The week itself is tighter. Innovation runs March 15–20, Music and Film & TV run the full March 15–21, Comedy starts Wednesday, March 17, and a new Podcast Festival runs March 17–20. SXSW EDU comes first, March 13–16. Map your guest list to those tracks before you choose a room, because the track decides the neighborhood and the neighborhood decides the load-in.
Where brands are likely to build
The likely result of a hub-based festival is more activations in hotel ballrooms, restaurants, Rainey Street bungalows and empty storefronts near Congress Avenue and Sixth Street. These are rooms with no identity of their own, short handovers and strict out-times. Most spaces are handed over days before doors, not weeks.
Historic properties add rules of their own. The Driskill is an 1886 landmark on Sixth Street with marble, columns and a protected interior, so pieces there are freestanding and sized to lobby traffic rather than to the height of the room. In any historic property, nothing is screwed, nailed or adhered to original fabric.
How to brief a brand house
A brand house brief works best when it starts with the job each room has to do, not with a flower list. The pieces we build for SXSW fall into a few clear roles:
- Entries and facades: a porch, fence line or storefront dressed so the queue outside is already part of the activation, built without a screw in a hundred-year-old house.
- Clubhouse and lounge ceilings: suspended floral over bars and seating, rigged to the venue's load limits and struck in a night.
- Content walls: flower walls sized for creator content and press, color-matched to the brand and panelized to fit through a bungalow door.
- Launch dinners and hosted breakfasts: a single hero piece and a table language that reads the same on camera and across the table.
- Stage framing: pieces built to survive stage-lighting heat and nightly changeovers.
- Week-long refresh: a morning crew so the fresh accents on day seven look like day one.
Fabricated vs fresh
The booking window decides the material as much as the design does. A fabricated environment, meaning custom structures, ceilings and facades, needs design, engineering and a dry-fit in our Kendall workshop before it is freighted to Austin ahead of the crew. That is why November is the sensible booking point and January the last honest one.
Fresh product is bought from Texas wholesalers the day before doors. Fresh accents last the week with a morning refresh. For sun-exposed or touchable positions over seven days we specify premium faux or preserved material and keep fresh where guests get closest. Inside four weeks of March we can still deliver a strong fresh-and-rental install, but we will tell you it is that rather than sell it as a custom build.
Load-in around festival days
SXSW week can hold more brand activation spend than a normal quarter, and every crew, truck, generator and lift in the city is spoken for during it. Downtown load-in during festival weeks is a scheduling problem before it is a design one.
A typical Austin build runs a crew of three to six flying into AUS, on site one to three days. During festival week we add a build day either side of your window for downtown traffic and dock access, and we would rather quote the extra day than miss a window. Strike is booked at the same time as install. Venues expect certificates of insurance naming the venue and rigging plans for anything overhead.
What to send us
Send the venue, or the neighborhood if the lease isn't signed yet, your dates and the access window. Add the brand colors, the rooms you want dressed and whether anything hangs overhead. We reply within one business day with a direction, a number and an honest answer on whether the date is buildable.
