An island production plan with named responsibilities

The fabricated parts of the design are made and checked in Kendall, shipped ahead and installed by the same team that developed them. Fresh flowers are bought from local wholesalers near the wedding date. Ibiza is quoted project by project because arrival capacity, seasonal traffic, venue access and temporary storage must be resolved for the actual date.

Aena describes Ibiza Airport as a highly seasonal gateway and says it serves about 95 percent of people entering or leaving Ibiza and Formentera. The Port of Ibiza has commercial and passenger quays as well as recreational facilities. Those are verified routes, not a promise that a particular consignment can arrive at a particular hour. The planner must name who receives freight and the venue must confirm when it can accept it.

Season: use the venue calendar, not a slogan

Ibiza's official tourism site promotes the island as a wedding destination, but it does not publish one authoritative wedding-season window. Aena does verify that airport demand is highly seasonal and peaks with tourism. We therefore do not label a month as guaranteed or automatically available. The confirmed date, venue operation and transport capacity are the facts that control the floral schedule.

A six-to-eight-week custom-project window starts only after the venue and scope are known. If the wedding sits in a high-demand period, the planner should secure access and receiving arrangements before floral fabrication is released. Any proposal that depends on a same-day island delivery should be replaced by one with planned margin and named local responsibility.

Wind, outdoor spaces and the indoor answer

Many official venue pages feature terraces, cliffs, gardens or sea-facing spaces. That does not tell us what the wind will do on the wedding day. AEMET's Balearic maritime forecast publishes wind and wave warnings, and the venue knows the exposure of its own terrace. We use both close to the date while designing the structure around the approved position from the start.

For an outdoor ceremony, send the indoor fallback with the original brief. We need to know whether an arch, aisle piece or welcome installation must relocate, how far it travels, who authorises the move and the latest decision time. The indoor version should still look intentional; it should not be a collection of outdoor pieces placed wherever space remains.

Pricing and a useful Ibiza brief

Signature pieces start at €2,500, full rooms for destination weddings and galas start at €8,000, and large-format installations start at €15,000. Prices exclude IVA.

Send the full weekend schedule, venue coordinator, approved spaces, guest count, plans and photographs, loading and storage details, access times and budget. Mark which moments are private and which must carry the same visual identity into welcome events, ceremony, dinner or a brand-hosted gathering. If any structure sits outdoors, include the venue's wind and weather procedure.
